The North Carolina Coastal Federation is the state's
largest non-profit coastal conservation organization working to
restore and protect the coast. Formed in 1982, NCCF focuses on three main
program areas: habitat restoration and protection; environmental education,
and the encouragement of sound environmental rules and regulations
and their enforcement. NCCF headquarters are located in
Ocean, NC. It also maintains field offices in Wilmington and in Manteo.

JOB DESCRIPTION

Title: Administrative Assistant
Status: Full-time, non-exempt
Level: $16,500 to $24,000 depending on experience and qualifications
Job Location: Headquarters in Ocean, NC
Closing Date: May 3, 2006

The Administrative Assistant is responsible for assisting with general administrative, finance and database tasks including general office management, database management and event registration.  The Administrative Assistant also supervises all aspects of the nature shop, coordinates membership mailings and fulfillment, and provides excellent customer service, general support to staff, and general management to ensure efficient and professional office operations.

Knowledge, Skills and Abilities:

  • 1-2 years administrative experience in a fast-paced environment calling for self-motivation and independent judgment
  • 2 years experience managing a data base system
  • Ability to manage multiple tasks, multiple goals, problem solve and prioritize among assignments
  • Strong interpersonal skills and experience working with a variety of audiences
  • Professional attitude toward work, staff and visitors
  • Promptness, reliability and sound judgment required
  • Good sense of humor and creative approach to tasks
  • Well organized with attention to detail and a resourceful problem solver
  • Ability to see the big picture and anticipate and support needs of staff members
  • Ability to work effectively under pressure without close supervision
  • Ability to work as a team
  • Excellent written and oral communication skills
  • Extensive computer skills (Microsoft Word, Excel, Powerpoint and the Internet) and word processing and data entry skills
  • Strong typing and proofreading skills
  • Strong commitment to goals and mission of the North Carolina Coastal Federation

Physical Demands:

  • Capable of lifting up to 40 pounds

Job Responsibilities:

  • Answer the telephones courteously while providing callers with the appropriate assistance
  • Greet and direct visitors
  • Respond to general e-mails, letter mail and phone calls in a timely manner
  • Respond directly to request for materials and general information
  • Perform routine administrative tasks including filing, photocopying, faxing, mailing, record keeping and membership fulfillment
  • Manage, operate and maintain membership database
  • Provide clerical support to Development Director
  • Establish, maintain and update files and documents
  • Perform routine finance tasks including processing membership donations and reporting nature shop sales
  • Coordinate use of physical office space and ensure general office neatness including reception area, conference room, kitchen and supply room
  • Assist with coordinating office events
  • Coordinate event registration for all 3 regions
  • Maintain inventory of office supplies and equipment
  • Troubleshoot and respond to office equipment inquiries
  • Manage all aspects of the nature shop including purchasing, inventory, sales reports and marketing
  • Manage web-based calendar, phone systems and office equipment
  • Assist staff with other tasks as needed at the direction of supervisor
